Glen Abbey United Church has a number of committees that would be happy to see a fresh
new face. Call the church at 825-5292, or email us for more information.
You may not want to serve on a committee, but may wish to participate in some other
way. Volunteer to be a Scripture Reader, an Usher, a Greeter, a Coffee time co-ordinator,
a Offering Counter. Sign up sheets for these are in the Narthex on Sunday mornings or
check the appropriate box on the “WELCOME” form. We always need SUNDAY SCHOOL
TEACHERS AND HELPERS, YOUTH LEADERS, VACATION BIBLE SCHOOL LEADERS AND NURSERY VOLUNTEERS.
If you love children and want to participate in this manner, we provide the training and
support . You become part of a team of leaders who share the responsibility of teaching
our youth. Anyone interested should contact the office at 825-5292. If working behind the scenes is more your style, we always have
projects in the office that could use a few volunteer hours. Anyone who would be available
on an as needed basis should contact Pat in the office 825-5292.

FAITH FORMATION & CHRISTIAN EDUCATION

Mandate
Address the faith formation and Christian education needs of the congregation based on the principles of:
- dynamic life-long learning;
- growth in a transforming relationship with God;
- active engagement with the Christian story, past and present, and the formation of new stories of “God with us”;
- intentional reflection upon God’s presence in creation, and working in partnership with God to reconcile and make new;
- discovery and celebration of gifts;
- equipping persons for tasks that are holistic and justice seeking;
- formation of community relationships that are mutual, holistic, justice-seeking and cross-generational;
- engagement in endeavours that are mutual, holistic, and justice-seeking; and
- an invitation for persons of all ages and stages to explore and grow in their relationship with God as revealed through Jesus Christ, with the community of faith, and with the world.
Duties and Responsibilities
- To develop and implement Christian education and faith formation programs for the congregation,
- Implement Sunday School programs that challenges our children and youth to grow in faith; maintain records of youth involvement such as
- Cradle roll
- Registration
- Youth and young adult registration
- Recruit and provide appropriate training and support for Sunday School teachers and support volunteers; and nursery coverage
- Teacher covenanting and appreciation
- Develop and oversee the programs for confirmation classes, transfer and re-affirmation as appropriate
- Implement and maintain small group ministries
- Provide lay leadership training for leaders of small group ministries
- Provide support to the youth group
- Review and evaluate materials from the UC of Canada & other sources for use in congregational programs
- Develop and recommend “safety” program policy i.e. valid police record checks are on file for all volunteers and youth workers

MINISTRY & PERSONNEL

Mandate
- Interpret ministry to the congregation and interpret the congregation to the minister and staff.
- Oversee and support all staff , attend to personnel matters referring to United Church Pastoral Charge Handbook
- Be familiar with other United Church Handbooks and Guidelines and resources related to Ministry and Personnel
Duties and Responsibilities
The committee shall:
- Provide a consultative and supportive agency for the staff of the Pastoral Charge and for members and adherents of the congregation
- Review working conditions and remuneration for the staff of the Pastoral Charge and make appropriate recommendations to the Church Council
- Oversee the relationship of the staff of the Pastoral Charge to members of the congregation and others
- Oversee the relationship between and among different members of the staff of the Pastoral Charge with respect to their responsibilities and authority
- Consult with all members of the staff of the Pastoral Charge about their plans for continuing education and ensure that those eligible avail themselves of the provisions for continuing education and that money and time are made available
- Review and evaluate annually the effectiveness of the staff of the Pastoral Charge as those persons and positions relate to the mission of the Pastoral Charge as defined by the Church Council
- Maintain close liaison with the Presbytery Pastoral Relations Committee;
- Review regularly the responsibilities of all staff and contract staff including custodial staff of the Pastoral Charge and review position descriptions when required or requested
- Receive from each Ministry Personnel settled in or appointed to the Pastoral Charge, a current police records check, at the expense of the Ministry Personnel, no later that the completion of each three (3) year period of the pastoral relationship.
- Compliance with all applicable labour regulations and employment standards including those of the United Church of Canada
- Reports and minutes of the M&P committee dealing with personnel matters shall be considered confidential.

OUTREACH

Reach out to help others, locally, nationally and internationally.
Duties and Responsibilities
- To develop annually an outreach program for approval by the Church Council.
- To liaise with other organizations involved in social concerns.
- To form ad hoc committees to meet special outreach needs.
- To present outreach programs to Sunday school, adult groups and the congregation
- To reach out to seniors program through Life After Fifty Five (LAFF)

PASTORAL CARE

Mandate
Recognize the need for and oversee the provision of care to members of the congregation in ordinary times or in times of need.
Duties and Responsibilities
- Provide care to members in need. This includes but is not exclusive to: bereavement, joblessness, illness, hospitalization, family crisis, emotional distress, grief, divorce and separation, confidential consultation, and youth in difficulty.
- Assist as required or requested at funerals held at our church
- Provide transportation to medical appointments with outside help as required
- Oversee the administration of the Prayer Link
- Administer the casserole Ministry

STEWARDSHIP COMMITTEE
INCLUDING FINANCE, PROPERTY & LEASING SUBCOMMITTEES
|
Mandate
Foster stewardship among the members of Glen Abbey United Church and manage the financial affairs and the property affairs of the congregation.
Duties and Responsibilities (Stewardship)
- Develop and implement stewardship and fundraising strategies.
- Organize and conduct stewardship campaigns at least annually to support the mission of the church
- Promote the work of the Mission and Service Fund of the United Church before the congregation and work towards increased congregational givings to it.
- Approve and coordinate all fund raising activities conducted by various groups to ensure consistency with the mission of the church and its financial goals;
- Promote an understanding of the contribution of the United Church of Canada to the development of our congregation.
Duties and Responsibilities (Finance)
- Obtain annual budget submissions from all Committees of the Church Council and prepare an annual budget recommendation to the Church Council;
- Maintain records of the Church receipts and disbursements and prepare regular reports to the Church Council and management committee.
- Maintain distinct financial records for givings to the Mission and Service Fund (M&S).
- Prepare staff payroll, ensure payment of staff and required remittances.
- Ensure regular remissions to M&S, Presbytery and tithes are kept up to date.
- Prepare and provide tax receipts for givings, staff T4s and other employment documentation as required.
- Recommend an audit policy to the Council and auditors to meet the United Church requirement.
- Oversee the work of the counting team.
- Maintain adequate cash balances to ensure all financial obligations can be met on a timely basis
- Prepare submissions for grants and loans.
- Financial accountability of all committees.
- Long term capital maintenance and development planning
Duties and Responsibilities (Property)
- Find suitable candidates for custodial position and define Custodial duties
- Facilitate maintenance and repair of grounds, building and equipment to all applicable codes.
- Execute maintenance contracts including contract custodian in conjunction with M & P
- Monitor Insurance coverage in conjunction with the Board of Trustees (property, liability, errors and omissions and director’s liability)
- Purchase custodial supplies and equipment
- Monthly inspections of fire extinguishers, alarm and emergency lighting to meet fire code and emergency procedures.
- Development of a landscape plan
- Ensure that people using the sound system are trained
- Provide key control policy
Duties and Responsibilities (Leasing)
- Provide Trustees with semi-annual summary of in-force leases, summary of insurance as requested by trustees.
- Provide building security including alarm response.
- provide the Church Treasurer with an annual schedule of lease payments
- liaise with tenants, Church Council, staff
- Maintain security deposit record
- provide guidelines for use of the facilities
- ensure lease payments, leases, insurance coverage are current
- To review and to make recommendations regarding tenant renovations and improvements.

WORSHIP, WELCOMING & MEMBERSHIP
|
Mandate
- Provide effective and meaningful worship services that meet the needs of the congregation.
- Oversee the Order of worship and the administration of the sacraments.
- Ensure that new people are welcomed warmly and encouraged to belong.
- Encourage existing members to be active within the church
- Oversee the congregational roll.
Duties and Responsibilities
- Plan regular Sunday worship services and additional special services as required, e.g. Christmas; baptism and Easter services
- Choirs
- Staff, train and schedule monitors, ushers, scripture readers, communion assistants baptismal assistants; and greeters
- Ensure that all decorations and alter cloths are appropriate for worship services;
- Ensure that all materials used in the service, e.g. candles, microphones, etc. are in good working order and that pew materials are straightened following the service;
- Obtain appropriate pulpit supply for those occasions when the minister is absent;
- Provide emergency procedures covering emergencies that may occur during the worship service and ensure that ushers and monitors are trained to use them.
- Change the Sanctuary colours (antependia, candles) per worship calendar.
- Oversee Funeral and Wedding preparations and Hostess
- Information booklet for newcomers and visitors
- Provide a friendly and comfortable atmosphere on Sunday mornings at the Welcome Table;
- Make initial and follow-up contact with people who identify themselves as new;
- Celebrate when new members join the church.
